Company Profile
Company
Residential brokerage with a strong seller side. 25 agents, 1 managing broker, 1 TC. ~210 closings a year and about 40 active listings at a time.
Stack
MLS, a showing scheduling service, transaction management platform, CRM, e-signature.
Operating Need
Keep sellers informed and confident, make offer reviews fast and clear, and never lose a listing to a missed date.
The Challenge
In a slower market, homes were sitting longer, and sellers got anxious. Agents meant to send updates, but showing feedback had to be chased one text at a time, and many buyer agents never replied. Sellers who heard nothing for two weeks started calling other brokerages. When a home did get multiple offers, the agent spent an evening comparing PDFs and estimating each net. Two listing agreements had quietly expired in the past quarter because nobody was watching the date.
The Audit
We reviewed 90 days of showings and feedback, 40 active listings, recent multiple-offer situations and MLS records.
Patterns Found
- About 14% of listings were cancelled by sellers before selling
- Only 22% of buyer agents returned showing feedback
- Seller updates were irregular and mostly written by hand
- Comparing three or more offers took about 90 minutes
- 2 listing agreements expired in the prior quarter without renewal
- Price-drop conversations rarely had written feedback behind them
Sellers weren't leaving because of the market. They were leaving because they couldn't see what was happening.
The Architecture
Three systems working as six parts, built around the seller's experience.
Showing Feedback Collector
Texts the buyer's agent after each showing for quick feedback, with simple questions that take under a minute to answer.
Seller Weekly Report
Combines showings, feedback, online views and nearby listings and sales into a short weekly report for the agent to review and send.
Offer Comparison Table
Pulls the key terms from each offer PDF into one table: price, loan type, deposit, contingencies, closing date and credits.
Seller Take-Home Estimate
Works out the seller's estimated net for each offer and highlights risks like a home-sale contingency or a small deposit.
MLS Rule Clock
Tracks every listing's status and starts the right clock for each MLS rule, warning before each window closes.
Expiration Warnings
Warns the agent before each listing agreement expires, so it's renewed in time.
How the System Operates
The system collects, compares and warns. The agent reviews every report and walks the seller through every offer.
- The agent reviews every seller report before it's sent
- One buyer's offer is never shown to another buyer
- Take-home figures are estimates for the agent to confirm with the seller
How It Flows
- 1A showing happens, an offer arrives, or a clock starts
- 2The AI collects feedback, builds the comparison or starts the timer
- 3The agent reviews the report or table and talks it through with the seller
- 4Warnings go out before any MLS window or listing agreement runs out
Offer comparisons are shared only with the listing agent and their seller.
Implementation
| Stage | Focus | Key Results |
|---|---|---|
| Stage 1 | Listing audit | Cancellation rate, feedback rate and expirations measured |
| Stage 2 | Setup and approval | Feedback questions, report template and MLS rules approved |
| Stage 3 | Seller launch | Feedback Collector and Seller Weekly Report live on every listing |
| Stage 4 | Offers and clocks | Offer Comparison, MLS Rule Clock and expiration warnings live |
Ownership
Every report, comparison and clock lives in the brokerage's own records.
A feedback history for every listing
An archive of every seller report sent
Offer comparison tables for every multiple-offer situation
MLS clock and listing expiration records
Operational Impact
Sellers now hear from their agent every week with real numbers and real buyer feedback, so price conversations are easier and fewer sellers walk away. Multiple-offer nights take minutes instead of hours, and no listing slips past its expiration date. Agents keep more of their listings and spend more time winning new ones.
