Company Profile

Operating Need

Keep more deals together through low appraisals and inspection negotiations, without missing the tight dates that come with them.

The Challenge

Austin prices had come off their peak, and appraisals were coming in below contract price more often. Each time, agents scrambled to work out what the contract allowed and by when. Inspection reports ran 60 to 100 pages, and drafting a repair request inside a short option period took over an hour. Buyers and sellers grew anxious during every negotiation and called constantly, while the TCs tracked the critical dates by hand.

The Audit

We reviewed 90 days of files with appraisal or inspection issues, recent inspection reports and the TCs' deadline tracking.

Patterns Found

  • About 9% of financed deals had a low appraisal
  • Roughly half of those deals fell through
  • Agents often weren't sure which responses the contract allowed or by what date
  • Repair requests took about 70 minutes to draft from long reports
  • Option period deadlines were tracked by hand, and two recent ones came within hours of being missed
  • Clients called several times a day during negotiations

Most at-risk deals weren't lost to the problem itself. They were lost to slow, unclear responses under a tight clock.

The Architecture

Four systems working as six parts, built for the moments when a deal is most at risk.

Inspection Report Summary

Groups every finding into safety, major, minor and maintenance, keeping the inspector's own words and page numbers.

Repair Request Draft

Drafts the repair request from the summary for the buyer's agent to edit, and later checks repair receipts against what was promised.

Low Appraisal Response Kit

Reads the low appraisal and lays out the possible moves: reconsideration, renegotiation, buyer covers the gap, split, new appraisal, cancel or switch loan type.

Contract Check and Reconsideration Draft

Checks which moves the contract allows and by when, and drafts a reconsideration request with the comparable sales the agent picks.

Contract Deadline Tracker

Reads every deadline, including option periods, from the contract for TC approval, and re-dates amendments.

Client Updates

Drafts calm, clear updates for buyers and sellers at each step of a negotiation for the TC or agent to send.

How the System Operates

The system summarizes, lays out options and drafts. The agent and client make every decision.

  • The agent and client choose the response to every low appraisal
  • Inspection summaries never rewrite the inspector's findings
  • Every deadline reaches the calendar only after TC approval

How It Flows

  1. 1An inspection report or low appraisal arrives
  2. 2The AI summarizes it and lays out the options the contract allows, with deadlines
  3. 3The agent and client decide, and the AI drafts the request
  4. 4Deadlines are tracked, and clients are updated at each step

Every repair or reconsideration request is edited and sent by the agent.

Operational Impact

When an appraisal comes in low, agents now know within minutes what the contract allows and by when, and they respond while there's still time. Repair requests are ready in a fraction of the time, option periods are tracked automatically, and clients hear what's happening instead of guessing. More of the brokerage's deals survive the moments that used to end them.
