Company Profile

Company

Residential HVAC shop. ~$1.3M revenue, 5 service techs, 1 installer, the owner, and 1 CSR. ~2,100 past customers and ~220 maintenance plan members.

Stack

Field-service management software, VoIP phone system, Google Local Services Ads, website and Angi leads.

Operating Need

Turn unpredictable weather swings into planned work, and stay reachable when they hit.

The Challenge

Oklahoma weather could swing from mild to freezing or from cool to hot in a day, several times a season. Each swing brought two or three days of phones ringing nonstop, then quiet again. The single CSR couldn't keep up on surge days, and online leads waited until the rush passed. The owner knew the swings were in the forecast but had no way to act on them in advance.

The Audit

We matched two years of daily call volume against local weather, and reviewed 90 days of lead response times.

Patterns Found

  • Surge days after major temperature swings brought about 2.6× normal call volume
  • About 31% of calls went unanswered on those days
  • Most surges were visible in the forecast 5–7 days ahead
  • Members got no priority before or during a swing
  • Online leads waited a median of 3 hours during surges
  • Some surge calls could have been solved with a filter, breaker or thermostat check

The surges weren't random. They were in the forecast a week ahead, and the shop needed to act on that.

The Architecture

Three systems working as six parts, all keyed to the local forecast.

Weather Trigger

Watches the forecast daily and, 5–7 days before a major swing, texts members first, then homes with older systems.

Surge Warning

Alerts the owner with expected call volume so he can plan on-call coverage.

Call Handling

An AI assistant in backup mode that picks up after 3 rings, on busy lines and after hours, follows the owner's emergency rules, and books routine work.

Self-Help Tips

During surges, sends callers simple checks (filter, breaker, thermostat) that sometimes solve the problem without a truck.

60-Second Lead Responder

Texts every online lead by name within 60 seconds and books the visit, even on surge days.

Monday Recovered Revenue Report

One page every Monday with bookings by source, surge days handled and dollars booked.

How the System Operates

The system acts on the forecast and answers the surge. The owner sets emergency rules and decides staffing.

  • Members are always contacted first before a forecast swing
  • Self-help tips never replace a visit for a true emergency
  • The CSR answers first; the AI covers overflow and after hours

How It Flows

  1. 1The forecast shows a major swing 5–7 days out
  2. 2Members and older systems are texted, and the owner gets a surge warning
  3. 3Visits are booked ahead, and surge calls and leads are answered
  4. 4Every booking is logged on the Monday report

Operational Impact

Weather swings are now planned work instead of emergencies. Members and older systems are booked before each swing, the owner knows days ahead when to add coverage, and every surge call is answered. The quiet days between swings fill up with visits that used to pile into the rush.
